Administrative Assistant

Hubbard Broadcasting, Inc. in Minneapolis/St. Paul is seeking an Administrative Assistant.

Hubbard Broadcasting Inc., is the parent company of several media companies including Hubbard Television, Hubbard Radio, REELZ, F&F Productions and 2060 Digital. Based in St. Paul, MN, this family-run business has been in operations for nearly 100 years.

Job Responsibilities

  1. Handle confidential and non-routine information.
  2. Backup for incoming calls to the Reception desk.
  3. Track and submit daily records of viewer comments.
  4. Update, maintain and distribute the telephone directory electronically as needed. Ensures information in directory is accurate.
  5. Administrator for the ARC system for employees which includes maintaining the security card and parking access systems.
  6. Coordinate and keep up-to-date the auto fleet records for all locations in the company.
  7. CPR/AED Training for the company
  8. Cell phone administration of the company accounts with AT&T & Verizon
  9. Assist Purchasing and Building Services with other tasks and projects as needed.
  10. Works in a team environment with a variety of people. Interact in a professional manner with other department and outside agencies, including high-level staff.
  11. Reports to work on time and works established schedule/hours. Ability to work other hours or alternate schedules as needed.

Job Overview

This position provides administrative support to Building Services/Purchasing department. In this role, you’ll be able to interact with colleagues at all levels of this dynamic, nationwide, multi-media organization in the exciting audio and visual entertainment industry.

Qualifications

  1. Must have excellent keyboard skills with a high degree of accuracy
  2. Excellent phone and interpersonal skills including poise, tact, diplomacy and ability to handle sensitive, confidential and challenging situations
  3. Computer experience including proficiency with MS Excel, Word and Outlook
  4. Must have cooperative attitude, sound judgement, flexibility, resourcefulness and the ability to ensure confidentiality of information
  5. Must have strong customer service orientation and strong organizational skills
  6. Pleasant and professional in appearance and manner
  7. Prior purchasing experience preferred
  8. Must be willing to work in an in-office environment (This is not a remote or hybrid position). 

Physical Requirements

Ability to sit for periods of time. Must be able to answer phones and view computer monitor screens. Manual dexterity for keyboarding and operation of office equipment and controls.  Ability to communicate in English both verbally and in writing.  Must be able to retain information and articulate information to others.  Average lifting, moving and pulling abilities.  Must be able to perform the essential functions of the job.  The Company will make reasonable physical accommodations to facilitate the ability to perform essential job functions.
